This Responsible AI & AI Transparency Statement explains the principles that govern the design, development, deployment, and ongoing operation of AI-enabled functionality within the Cortextual platform. It also describes the measures adopted by Cortextual to promote transparency regarding the use of AI and to support customers in understanding both the capabilities and limitations of AI-generated outputs.

We recognise that responsible AI is not achieved through a single policy or technical safeguard. Our governance framework is therefore intended to evolve alongside the platform itself.
Transparency is fundamental to establishing confidence in AI-enabled systems.
Organisations should understand when artificial intelligence is being used, the role AI performs within the platform, and the extent to which AI-generated outputs should be relied upon when making business decisions.
Cortextual is committed to promoting transparency regarding the use of AI throughout the platform. Where reasonably practicable, we seek to make users aware when functionality relies upon artificial intelligence and to provide appropriate context regarding AI-generated outputs.
Where supported by the relevant functionality, Cortextual also seeks to enable users to understand the organisational information upon which AI-generated responses are based. The development and operation of AI-enabled functionality within Cortextual is guided by a number of governance principles that collectively support responsible innovation, customer confidence, and appropriate organisational oversight.
Artificial intelligence assists users in accessing information and generating insights. Responsibility for organisational decisions, however, remains with the customer.
Cortextual does not seek to replace the governance, judgement, or decision-making responsibilities of organisations using the platform. Customers remain responsible for determining how AI-generated outputs are used within their business processes and for ensuring that decisions are made by appropriately authorised individuals in accordance with applicable laws, internal policies, and professional standards.
Meaningful human oversight forms an essential component of responsible AI governance.
AI-generated outputs should be reviewed and evaluated by appropriately qualified individuals before being relied upon in circumstances involving legal, regulatory, employment, financial, strategic, or other significant organisational decisions.
Cortextual is designed to support human expertise rather than replace it. The platform assists users by organising information, identifying relevant organisational knowledge, and generating contextual insights, while responsibility for evaluating those outputs remains with the customer.
The responsible operation of AI depends upon the responsible handling of information.
Our approach to AI is closely integrated with our broader commitments relating to privacy, confidentiality, and information security. AI functionality is developed and operated in a manner intended to complement the safeguards described in our Privacy Notice and Security & Trust documentation.
Where AI functionality interacts with organisational information, we seek to ensure that such functionality operates consistently with applicable access controls, confidentiality obligations, and relevant legal requirements.
AI governance cannot be separated from information security.
Security considerations form part of the design, development, deployment, and ongoing operation of AI-enabled functionality within Cortextual. AI-related risks are considered alongside our broader security programme and are subject to ongoing review as technologies, threats, and regulatory expectations continue to evolve.

While Cortextual seeks to provide reliable and meaningful AI-assisted functionality, we recognise that AI-generated outputs may occasionally be incomplete, inaccurate, or require further verification.
Accordingly, we continuously evaluate our AI capabilities, review customer feedback, monitor developments in AI technology, and refine our governance practices to improve the reliability, transparency, and usefulness of AI-enabled functionality over time.

The functionality available to individual users may differ depending on the customer's subscription, configured integrations, user permissions, and platform configuration.

Cortextual is responsible for the design, development, deployment, maintenance, and ongoing governance of AI functionality made available through the platform. This includes maintaining appropriate technical and organisational safeguards, monitoring AI performance, reviewing emerging risks, implementing platform improvements, and continuously developing our governance framework to reflect technological developments, customer expectations, and evolving legal and regulatory requirements.
Customers remain responsible for determining which users may access the platform, configuring user permissions and organisational settings, managing connected information sources, evaluating AI-generated outputs, and ensuring that decisions supported by AI are reviewed by appropriately authorised individuals.
Customers are also responsible for ensuring that their use of the Cortextual platform complies with applicable laws, internal policies, contractual obligations, and regulatory requirements relevant to their organisation and industry.
Nothing within the Cortextual platform transfers organisational accountability for business decisions from the customer to Cortextual.
Artificial intelligence is intended to support organisational decision-making by assisting users in locating information, identifying relevant organisational knowledge, and generating contextual insights. Responsibility for evaluating AI-generated outputs, determining their suitability for a particular purpose, and making any resulting decisions remains exclusively with the customer.
Nothing within the Cortextual platform should be interpreted as delegating decision-making authority to artificial intelligence or as replacing the customer's internal governance, approval processes, or professional judgement.
Certain organisational decisions require a particularly high degree of human judgement, legal consideration, and organisational accountability.
Cortextual is not designed to autonomously make, or replace human decision-making in relation to, decisions that may produce legal or similarly significant effects on individuals or organisations. This includes, without limitation, decisions relating to recruitment, promotions, remuneration, disciplinary action, termination of employment, organisational restructures, legal advice, regulatory compliance, financial commitments, or any other decisions requiring professional or managerial judgement.
Where AI-generated outputs contribute to such decisions, organisations should ensure that those outputs are independently reviewed, appropriately verified, and assessed within the broader factual and organisational context before any action is taken.
Customers remain solely responsible for ensuring that decisions are made by appropriately authorised individuals and in accordance with applicable legal obligations, internal governance requirements, and professional standards.

Customers should use AI-enabled functionality responsibly and exercise appropriate professional judgement when interpreting AI-generated outputs. Organisations should ensure that users understand both the capabilities and limitations of artificial intelligence and that AI is used in a manner consistent with their internal governance policies, applicable laws, contractual obligations, and regulatory requirements.
Customers should not rely exclusively on AI-generated outputs where independent verification is appropriate or where the consequences of an incorrect or incomplete response may be significant. AI-generated information should be considered alongside other available information, organisational knowledge, and professional expertise.
Customers are also responsible for ensuring that confidential information, personal data, and other protected information are processed appropriately when using AI-enabled functionality within the platform and that access to AI capabilities is managed in accordance with the organisation's internal security and access control policies.
